Brainformative — AI Preceptor Labs Privacy Policy Effective Date: July 19, 2026


1. Overview

Brainformative ("we," "us," "Brainformative") is committed to handling personal information responsibly. This Privacy Policy describes what information we collect, how we use it, who we share it with, and what rights you have regarding your information.

This policy applies to information collected through the Brainformative website, registration processes, pre-work platforms, and live AI Preceptor Labs events.

2. Information We Collect

Registration and payment information

When you register for an AI Preceptor Labs facilitated learning event, we collect your name, email address, job title, organization, and payment information. Payment transactions are processed by Stripe. Brainformative does not store payment card data directly.

If you provide a mobile number and consent to mobile communications, we collect and retain your mobile number for the purpose of sending transactional event communications as described in our Terms of Service.

Job title and organization are collected for three purposes: cohort composition and facilitation personalization, aggregate demographic research to validate the effectiveness of the Insight Design methodology across role levels and organizational types, and internal audience analysis to improve how Brainformative describes and reaches its intended participants.

Demographic data is used in aggregate only. Individual job titles and organizational affiliations are never shared with other participants, disclosed in marketing materials, or transferred to third parties for marketing purposes.

Aggregate findings — for example, the distribution of role levels across cohorts, or retention outcomes correlated with seniority — may appear in published research, presentations, and Brainformative marketing materials without attribution to individual participants.

Pre-work submissions: Pre-work assignments may require you to submit written responses, documents, or other artifacts through designated platforms or by email. These submissions are retained for facilitation and program development purposes.

Session recordings and transcripts. Live events are video- and audio-recorded. Table discussions may be transcribed using automated transcription technology. Photography of group work artifacts is taken during sessions. These records are retained for internal quality review, facilitator training, and marketing purposes as described in our Terms of Service.

Communications: When you contact Brainformative by email or other means, we retain records of those communications.

3. Research Participation — Insight Design Methodology Study

What this is 

Brainformative conducts ongoing research to measure the effectiveness of the Insight Design® methodology across different professional domains, role levels, and organizational contexts. AI Preceptor Labs participants contribute to this research through the assessment instruments administered before, during, and after the event.

What we are measuring


We administer assessments at four points: 24–48 hours before the event, 48–72 hours after the event, 30 days after the event, and 90 days after the event. These assessments measure knowledge acquisition and retention of the core concepts addressed in the session. We also collect demographic information — your role level and organization type — to understand whether outcomes vary across different participant profiles.

What we do with the data


Assessment results are analyzed in aggregate. We use this data to improve our programs, validate our methodology, and support publication of findings in professional and academic contexts. Findings presented publicly — in research papers, presentations, or marketing materials — will use aggregate data only. Your individual scores will never be attributed to you by name or associated with your organization without your separate express written consent.

Your participation is voluntary
Completing the assessments is voluntary. Declining to participate in the research measurements will not affect your participation in the live event, your access to session materials, or any other aspect of your enrollment. There is no penalty for opting out.

How to opt out


If you do not wish your assessment data to be included in Brainformative's methodology research, notify us in writing at [email protected] before your cohort date. We will remove your named responses from the research dataset while retaining only the data necessary to administer your individual assessments for your own benefit.

Data retention

De-identified aggregate research data is retained indefinitely for longitudinal analysis. Individual assessment records are retained for [10] years and then de-identified or deleted.

4. How We Use Your Information

We use the collected information to:

  • Process and manage your registration and payment

  • Deliver pre-work assignments and session communications

  • Facilitate the live learning event

  • Administer the referral credit program

  • Conduct internal quality review and facilitator training

  • Develop and improve Brainformative programs and methodology

  • Produce marketing and promotional materials, including recordings and photographs from live events

  • Comply with applicable legal obligations

5. Third-Party Service Providers

Brainformative operates its business using third-party service providers, including payment processors, communication platforms, video storage services, transcription services, and other tools necessary to deliver its programs. These providers may have access to your personal information and session data as necessary to perform their functions.

We do not sell your personal information to third parties. We do not share your personal information with third parties for their own independent marketing purposes.

We require that our service providers maintain appropriate security standards, but we do not control their independent data practices. The handling of your information is governed by their own privacy policies.

6. Organizational Data — Your Responsibility

Brainformative explicitly prohibits participants from using protected health information, confidential organizational data, or any compliance-sensitive information on any pre-work or during the learning event. 

Any organizational data you choose to use in connection with Brainformative events is entered at your sole discretion and subject to your organization's own data governance policies. Brainformative does not collect, store, or process organizational data entered by participants into third-party AI platforms during events.

7. Referral Program Data

If you participate in the Brainformative referral program, we collect information necessary to track referral activity and apply credits to eligible accounts. Referral links may be associated with your registration record. We do not sell or share referral data with third parties.

8. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, to maintain business records, and to comply with applicable legal obligations. Recording, transcript, and photography data from live events is retained indefinitely for the purposes described in our Terms of Service unless you make a specific written request as described below.

9. Your Rights Under Texas Law

If you are a Texas resident, the Texas Data Privacy and Security Act provides you with the following rights regarding your personal data:

  • The right to know what personal data we have collected about you

  • The right to correct inaccurate personal data

  • The right to delete personal data we have collected about you, subject to certain exceptions

  • The right to obtain a copy of your personal data in a portable format

  • The right to opt out of the sale of your personal data — Brainformative does not sell personal data

To exercise any of these rights, submit a written request to [email protected]. We will respond within 45 days. We may need to verify your identity before processing your request.

10. Security

We implement reasonable technical and organizational measures to protect personal information against unauthorized access, disclosure, and loss. No security measure is perfect. We cannot guarantee the security of information transmitted to us or stored by our third-party service providers.

11. Children

Brainformative events are designed for working healthcare professionals. We do not knowingly collect personal information from individuals under the age of 18.

12. Changes To This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on the Brainformative website and communicated to registered participants by email. The effective date at the top of this document will reflect the date of the most recent update.
